Abstract and Grant Submission

Please consider using the “Submit an Abstract and apply for a Travel Grant” button above to start the process. Beware that this submission does not imply the registration to the meeting.


As a participant, you will have the opportunity to submit an abstract and, if it is accepted, to discuss your work with the international faculty and your peers. 

Submitting an abstract constitutes a formal commitment by the author to attend the meeting in Abu Dhabi if the abstract is accepted. Upon requested, the author must also present the work as an oral or poster presentation during the assigned session and time slot in the scientific programme. 

Oral presenting authors of accepted abstracts will be allowed to register with the Early Bird registration discount fee, for which the details will be shared in the acceptance letter.

All other authors wishing to attend the meeting should complete their registration by 16 February 2026 (23:45 CET) to take advantage of the early registration discount fee.

Submission procedure

  • The abstracts submitted via the submission portal will be reviewed and allocated by the Scientific Programme Committee (SPC).
  • Regular abstract submission duration: 15 December 2025–25 January 2026, 23:59 CET
  • Authors will be informed about the results and allocation by 6 February 2026

Rules and Guidelines for the abstract submission

The following guidelines are intended to provide clear instructions for submitting an abstract for the meeting. Please read them carefully before submission.

·       Abstracts must be submitted by the announced deadline; late submissions will not be considered.
·       Abstracts must be submitted online through the website; submissions by email will not be accepted.
·       The abstract text must not exceed 400 words (excluding title and authors).
·       Abstracts may be structured (e.g. Objectives, Methods, Results, Conclusions).
·       All authors must be listed, including their affiliations and disclosures. There is no limit to the number of authors.
·       The submitting author is required to ensure that all co-authors are aware of the content of the abstract and agree to its submission, before submitting the abstract.
·       References are mandatory when submitting an abstract.
·       Images must be submitted in JPEG, TIFF, or GIF format. Due to limited space, only one simple image or graph may be included and must not exceed 500 KB in size.
·       Tables should be created as so.
·       Proofread your submission carefully for accuracy, clarify, and grammar before submitting.

Abstract submission topics

Topics are listed according to the session titles. You will be able to link your submission to the corresponding topic during the submission process.


These grants intend to alleviate the financial burden of in-person attendance to this meeting, covering registration fees, and providing coverage for travel and accommodation expenses. 

Eligible applicants who do not wish to apply for, or are unable to accept, a grant may indicate this during the submission process. This will not affect the eligibility of their abstract.

Please note that registrants under the following categories will need to provide accreditation or proof of status in the form of an ID or a letter from their institution during the registration process: Nurses, Trainees, Scientists, Quality Managers, Pharmacists, Transplant Coordinators, Study Coordinators, Statisticians, Psychologists, Biologists, Nutritionists/Dietitians, Physiotherapists, Data Managers, Patients, Donors, and Patient Advocates.

(***) Proof of residence is required. Please note that registrants under the LMIC Residents category will need to provide proof of residence in a Low Income Country (LIC) or Low-to-Middle Income Country (LMIC) during the registration process. Only countries defined by The World Bank Group as low-income economies (US$1,135 or less GNI per capita) or as lower-middle-income economies (US$1,136 to US$4,495 GNI per capita) are eligible. Check your eligibility here.

Individual Registration

In-Person registration includes:

  • Entry to all sessions and activities according to the scientific programme
  • Catering during the course according to the programme
  • Access to the Networking Event

Virtual registration includes:

  • Access to the livestream
  • NO Q&A with presenters
  • NO access to the in-person poster session
  • NO access to the in-person Industry Theater sessions

Registration Cancellation Policy

All cancellations must be processed through the registration system, and notified to education.events@ebmt.org. The following refund conditions shall apply:

  • If the cancellation is notified up to one month prior to the beginning of the meeting, your registration fee will be reimbursed in full (minus bank charges).
  • If the cancellation is notified between 30 and 15 days prior to the beginning of the meeting, 50% of the registration fee will be reimbursed (minus bank charges).
  • For cancellations notified 15 days prior to the beginning of the meeting, the registration fee will not be refunded.
Certificate of Attendance

After the event, you will receive an email with a short survey to evaluate the course. Once you have completed it, you will be able to download the certificate of attendance.

Travel and Accommodation

Participants will be responsible for covering their travel and accommodation costs. Please note that EBMT does not manage hotel availability or set prices.

Important Information

EBMT cannot accept liability for personal accidents or loss of or damage to the private property of participants. Participants are advised to take out their own personal travel and health insurance for their trip.
