The European Hematology Association (EHA) and the EBMT are excited to announce the 7th edition of the jointly organized European CAR T-cell Meeting.  

Dates: February 6-8, 2025
Location: Strasbourg, France

The meeting covers a broad range of topics spanning the scientific and translational, clinical and commercial development in the field of CAR T. The programme will bring you all the latest developments in CAR T-cell therapy including previously unpublished clinical data, as well as progress in manufacturing, toxicity modeling, innovative CAR design, CAR delivery methods, and novel applications of CAR T-cell therapy. Join the meeting and have the chance to hear outstanding developments and network with your peers and renowned experts
in the CAR T-cell therapy field.

Format

This is a hybrid meeting, which can be attended physically or virtually. The emphasis lies on physical participation in the programme, but most sessions will be livestreamed via a virtual platform for those who can only follow the programme remotely. 

Target audience

The target audience is haematologists, oncologists, physicians, scientists, nurses, patient organization representatives, manufacturing specialists, pharmacists, data managers and supply chain managers. 

Scientific Programme Committee

The meeting is led by Anna Sureda and Maria Themeli, in close collaboration with the Scientific Programme Committee (SPC). Together they have created the programme and helped select speakers. The members are:

Abstract and Case submission

Abstract submission is an important part of the 7th European CAR T-cell Meeting. As a participant, you will have the opportunity to submit an abstract or case report for this meeting, and (if accepted) have the possibility to discuss it with the international faculty and your peers.

Please note that the submission of an abstract/case report constitutes a formal commitment by the author to attend the meeting in Strasbourg, France (if the abstract is accepted) and, if required, present the abstract as an oral or poster presentation in the session and the time assigned by the Scientific Program Committee.

Submission procedure

The abstracts / clinical cases submitted via the submission portal will be reviewed and allocated by the Scientific Program Committee (SPC). There are two deadlines for abstract submission of 7th European CAR T-cell Meeting, which are October 31, 2024 (23:59 CET) and January 12, 2025 (23:59 CET). Submissions received after January 12, 2025 (23:59 CET) will not be considered.

  • Regular abstract/clinical case submission
    • Submission duration: July 1, 2024 - October 31, 2024 (23:59 CET)
    • Authors will be informed about the allocation by November 20, 2024
  • Late-breaker abstract/clinical case submission
    • Submission duration: January 1, 2025 - January 12, 2025 (23:59 CET)
    • Authors will be informed about the allocation by January 20, 2025

Guidelines for the abstract/case report submission

The Abstract and Clinical Case Submission Guidelines of the 7th European CAR T-cell Meeting are intended to provide clear instructions before submitting an abstract. You are kindly requested to carefully read the guidelines.

  • Title count: max. 300 characters incl. space.
  • Character limit: 3500 characters (incl. spaces & punctuation / excl. headers in the template).
  • Please use the following subheadings: Background / Aims / Methods / Results / Summary - Conclusion
  • Images have to be submitted as JPEG, TIF, or GIF files:  
    • Due to limited space, only a simple graph/image can be submitted.
    • Images and graphs should reproduce well in black and white.
    • Image file should not exceed 500KB.
  • Authors: There is no limit to the number of authors.

References are obligatory when submitting an abstract or clinical case.

Presenting author registration

Oral presenting authors of accepted abstracts and/or cases will be allowed to register with the Early Registration discount fee, for which the details will be shared in the acceptance letter.

All other authors wishing to attend the meeting should complete their registration before December 1, 2024 (23:59 CET) to take advantage of the Early Registration discount fee.

Abstract awards

Introduced in 2021 and after 4 editions, we are excited to announce the 5th Emerging Investigators EHA-EBMT Joint Fellowship Awards in the Field of Cell Therapy and Immunotherapy 2025. Submitters under 40 years old at the time of the submission, can apply for this award and the Scientific Program Committee will select 3 winners. Winners will receive 10 000€ and the opportunity to present their work on Day 1.

Registration Fees

* If you are registering for the discounted Nurses, patients & patient advocates, data managers, and students fee, please submit your accreditation (during the registration process) as proof so we can approve your eligibility for the reduced registration fee.

  • All fees include VAT

Press registration

Press accreditation and registration are required to attend this meeting. Press registration is free and includes complimentary meeting registration. To register, please complete this form. The following information will be requested during the registration process.

  • a copy of your press credentials,
  • a letter of assignment from the media organization being represented,
  • two bylined medical/health/science articles published within the last 6 months.

Your credentials will be checked and when approved, you will receive a confirmation.

Name changes

Name changes are permitted until Sunday, January 19, 2025. Please note that after this date, a fee will be required to process the name changes (€50 each).


Cancellation of registration

In the event of cancellation, a written notification must be sent by email to scientificmeetings@ehaweb.org. The following refund conditions shall apply:

  • In case the cancellation is received by the organizers 30 days or more prior to the beginning of the meeting, your registration fee will be reimbursed in full (minus bank charges).
  • In case the cancellation is received by the organizers between 15 and 30 days prior to the beginning of the meeting, 50% of the registration fee will be reimbursed (minus bank charges).
  • Cancellation notified less than 15 days prior to the beginning of the meeting will not be reimbursed.

Accommodation

A list of recommended hotels along with potential booking links offering discounted rates will be shared with registered participants. This list includes hotels close to the meeting venue and features a map for viewing their locations. 

Travel grants are intended to support young investigators to participate in the 7th European CAR T-cell Meeting; therefore, applicants should be 40 years of age or younger. 

The travel grant includes complimentary registration arranged by EHA/EBMT for on-site attendance only and compensation for travel arrangements (reimbursed after the meeting). There are a limited number of travel grants for both European and non-European applicants.

Eligibility criteria

  • The applicant is 40 years of age or younger at the time of travel grant application;

  • The applicant is an EHA and/or EBMT member or has applied for a membership by October 17, 2024, with the 2024 membership fee has been paid by October 24, 2024;

  • A valid motivation letter with an up-to-date resume/CV.

  • It is not mandatory to submit an abstract to the 7th European CAR T-cell Meeting, while abstract submitters of the meeting will have the priority to receive the grant.

Travel grant coverage

European grant recipients:
  • Complimentary registration arranged by EHA/EBMT for on-site attendance;
  • Maximum of € 750 for travel arrangements;
  • A reimbursement form must be completed (after the meeting), and the grant amount will be transferred after the meeting based on the attendance obligations.
Non-European grant recipients:
  • Complimentary registration arranged by EHA/EBMT for on-site attendance;
  • Maximum of € 1500 compensation for travel arrangements;
  • A reimbursement form must be completed (after the meeting), and the grant amount will be transferred after the meeting based on the attendance obligations.

Application

The selection of travel grant recipients will be at the meeting organizers' discretion. Only applications that meet the eligibility criteria will be considered. The application deadline is October 31, 2024 (23:59 CET). Applicants will be notified of their travel grant status by email by November 20, 2024.

EBAH CME Accreditation

Continuing Medical Education (CME) is widely accepted to encourage individual practitioners to maintain and develop professional knowledge and skills keeping up-to-date with latest developments within the field. The meeting will be accredited by the EBAH system. Participants of this meeting are eligible to receive one Continuing Medical Education (CME) credit point for every hour of accredited activity from the EBAH system.
