Presentation Guidelines

Oral/Poster Presentation Guidelines

Presenting authors are required to attend the Annual Meeting and present in-person. If the original presenting author is unable to attend, one of the other abstract authors can present on their behalf. Please notify the Abstracts Coordinator (abstracts@ebmt.org) of any changes before March 11, 2024. Only one author change is allowed per abstract, and no changes are allowed after the deadline.

Only one author can present per abstract. 

Abstract presenters are highly encouraged to use the EBMT Presentation Template, but it is not mandatory. You can download it from the link below:

EBMT Oral Presentation Template

Presenters will be required to show their disclosures at the beginning of the talk for at least 10 seconds.

Please respect the time assigned for the presentation as seen in the programme planner. Unless specified otherwise, the Q&A time is included in your assigned slot.

Technical Requirements 

Please note: you need to bring your oral presentation on a USB Memory stick and load it onto one of the conference computers in the Speakers’ Ready Room at least 1 hour before the start of your session.

Please note that the conference computers in the session halls are being supplied with Office 2019 (at least) and the native projection ratio is 16:9 (4:3 ratio presentations are acceptable as well).

If combining video films with PowerPoint, please make sure to check your presentation in the session hall where your lecture is taking place during a coffee or lunch break prior to your session, at least 30 minutes before the start of said session – even if you check it in the Speakers’ Ready Room.

Important note for Macintosh users:

In order to use Mac presentations on a PC-compatible computer, please note that you need to prepare your presentation according to the instructions below, before bringing it to the Speakers’ Ready Room:

  1. Use a common font, such as Arial, Times New Roman, Verdana etc. (special fonts might be changed to a default font on a PC-based PowerPoint).
  2. Insert pictures as JPG files (and not TIF, PNG or PICT – these images will not be visible on a PC-based PowerPoint).

The presenting author will be notified by email in early February for their poster presentation.

The deadline to submit the ePoster will be March 31, 2024.

We highly encourage the use of the EBMT Annual Meeting Poster Template, but it is not mandatory. You can download it from the link below and choose a suitable layout:

EBMT Poster Template

Allocate the top of the poster for the title and authors’ names and affiliations as stated in the submitted abstract. Posters that do not adhere to the EBMT Annual Meeting guidelines will not be accepted.

For the 50th Annual Meeting of the EBMT, the top-scored posters will be presented as printed posters in the Poster Sessions on Monday and Tuesday. All remaining posters will be presented as ePosters. Printed poster presenters will also be asked to upload an ePoster, as the congress is hybrid. 

Printed Posters

The presenting author is responsible for his/her poster placement and removal during the event. Authors will be asked to put up their posters and to take them down, in order to enable the conference participants to view their posters at any time within their time allocation:

Shift A (Monday)

  • Poster presenters can hang their poster in Hall 3 from Sunday 14 April at 08:00.
  • All posters must be hung before Monday 15 April at 10:30.
  • The Monday Poster Session will take place on Monday 15 April from 18:00 to 19:00. Poster presenters are required to attend in-person and are invited to stand next to their posters for discussion. 
  • Poster presenters must remove their poster before Monday 15 April at 19:15. 
  • Any poster not removed by Monday 15 April at 19:15 will be destroyed.

Shift B (Tuesday):

  • Poster presenters can hang their posters in Hall 3 from Tuesday 16 April at 08:30.
  • All posters must be hung before Tuesday 16 April at 10:30.
  • The Tuesday Poster Session will take place on Tuesday 16 April from 18:00 to 19:00. Poster presenters are required to attend in-person and are invited to stand next to their posters for discussion. 
  • Poster presenters must remove their poster before Wednesday 17 April at 14.00. 
  • Any poster not removed by Wednesday 17 April at 14:00 will be destroyed.

All printed posters should have one page only, in portrait.

All posters should be vertical, A0 size (84,1 cm X 118.9 cm), and only one page is allowed per poster. The printing paper should be white matte paper, +180 grams. Ensure that the images exhibit good quality.

ePosters

All the ePosters must be submitted as ePosters via the platform. The presenting author will receive an email with instructions. 

All ePosters should have one page only, in portrait. The formats accepted for upload are PPT, PPTX, and PDF.

All posters will be available to view as ePosters in the in-person ePoster stations and on the virtual platform. 

An audio can be included as an optional feature to an ePoster.
