Reservation and payment
Hotel reservations will only be confirmed once valid credit card details have been provided and full payment has been received. Alternatively, payment may be made by bank transfer within 10 days of the invoice date to the bank account indicated on the invoice. All bank transfer and transaction fees must be covered by the sender. Any additional charges incurred during the stay, including minibar, telephone, room service, or other incidentals, must be settled directly with the hotel upon check-out.
Early departure fee
Guests who check out earlier than the departure date confirmed at check-in will be charged for the full duration of the original reservation.
Liability
CME Congresses and its agents shall not be held responsible for, and shall be exempt from, any liability relating to loss, damage, injury, accident, delay, or inconvenience to any person, their luggage, or any other property, regardless of the cause. Personal travel and health insurance is strongly recommended.

Cancellation policy (for individual bookings only)
All cancellations or changes must be submitted in writing to CME Congresses.
Refunds will be processed as follows:
- More than 4 months prior to arrival: Full refund, less a €50 handling fee and any applicable transaction fees.
- Between 4 and 2 months prior to arrival: 50% refund, less a €50 handling fee and any applicable transaction fees.
- Less than 60 days prior to arrival: Non-refundable.
In the event of a no-show, the hotel will automatically release the reservation and the payment will be non-refundable.
Refunds will be processed in June 2027 following the completion of the EBMT Annual Meeting.

You can complete this form to generate a letter in case you need it to get your visa or for some other purpose to be able to attend the 53rd Annual Meeting of the EBMT in-person.
IMPORTANT: Please note that if any embassy contacts EBMT to validate the invitation letter, EBMT will only give positive feedback if the person applying for the visa is registered for the 53rd Annual Meeting of the EBMT and the fees are paid.
