Reservation and payment
Reservations will only be confirmed if credit card details are fully supplied, and full payment is received or alternatively a bank transfer of the total amount is received within 10 days of invoice date to the bank account appears on the invoice. Payment by bank transfer – all transaction fees should be paid by the sender. Potential additional incidentals, such as mini-bar and telephone, must be paid directly to the hotel upon check-out.
Early departure fee
Guests will be charged in full for checking out prior to the departure date confirmed at check-in.
Liability
CME-Congresses and their agents shall not be responsible for and shall be exempt from all liability in respect of any loss, damage, injury, accident, delay or inconvenience to any person, or his/her luggage or any other property for any reason whatsoever, for any tourist services provided. Personal travel and health insurance is recommended.
Group reservations
Should you wish to proceed with a group reservation (more than 10 rooms) we kindly invite you to contact us with your accommodation request at accommodation@ebmt.org.
Cancellation policy (for individual bookings only)
Cancellations or changes must be received in writing to CME-Congresses.
- Cancellations received 4 months prior to arrival - full refund minus 50€ handling and transaction fees.
- Cancellations received 2 months prior to arrival - 50% refundable minus transaction fees.
- Cancellations received less than 60 days prior to arrival - non-refundable.
In the event of a no-show, the hotel will automatically release the reservation, and payment will be non-refundable.
Refunds will be processed in May 2026 following the completion of the Annual Meeting of the EBMT.

✉️ Invitation Letter
You can complete this form to generate a letter in case you need it to get your visa or for some other purpose to be able to attend the 52nd Annual Meeting of the EBMT in-person.
IMPORTANT: Please note that if any embassy contacts EBMT to validate the invitation letter, EBMT will only give positive feedback if the person applying for the visa is registered for the 52nd Annual Meeting of the EBMT and the fees are paid.

IFEMA Madrid Congress Venue is located is located northeast of Madrid. The Congress Venue is accessible by numerous transport options.
Public Transportation from Madrid City Center
The nearest Metro station is 'Feria de Madrid' - Line 8 with exits at the South Entrance to the Venue, then walk through IFEMA Madrid to the North Entrance.

- Taxi: 20-30 min taxi transfer
