Photo and audio/video recording privileges
The EBMT reserves exclusive rights to photograph and/or record (audio and video) all event proceedings and participants for use in marketing materials, presentations, and course content reproductions (online or other).
Photography and/or recording by individuals is not permitted in the scientific, educational, and business meetings during any EBMT event unless specifically pre-authorized by EBMT.
Individuals granted such privileges shall be properly registered at the event and issued the proper proof of privileges (press badge or other).
Authorized third-party companies may be permitted to photograph and/or record (audio and video) certain portions of the event for their personal use, such as social media, websites, or blog posts, provided they adhere to the following conditions:
• Prior authorization must be obtained from EBMT for any photography or recording activities during the event.
• Third-party companies must comply with all event policies and guidelines regarding photography and recording.
• Any photography or recording activities by third-party companies must not disrupt or interfere with the proceedings of the event or inconvenience other participants.
• The EBMT reserves the right to review and approve any photographs or recordings taken by third-party companies for compliance with its policies and may request removal or modification of content if necessary.
By attending the event, delegates agree to the possibility of being photographed or recorded by authorized third-party companies for their personal use as described above.
Photographer
EBMT also wants to inform you that a photographer will be capturing images of the event, which might be used for communications regarding the EBMT events and promotional campaigns related to EBMT. If you do not wish to be photographed or do not wish to appear in any of the photographs online, please inform the EBMT organisers and/or the photographer.
Liability and insurance
The Meeting Secretariat and Organisers cannot accept liability for personal accidents, and/or loss of and/or damage to private property of participants, either during or directly arising from the Annual Meeting of the EBMT. Participants shall have no claim against the Organisers in respect of any loss or damage consequential upon the prevention or postponement of the Event, or of the virtual Event hall network becoming wholly or partially unavailable for the holding of the Event by reason of happenings of any event beyond the Organisers’ control.
Force Majeure
The 52nd Annual Meeting of the EBMT in Madrid shall be subject to Force Majeure, meaning any event or circumstance beyond the reasonable control of the Organiser that prevents, hinders, or substantially impairs the holding of the Event as planned. This includes, without limitation: natural disasters; extreme weather; fire; flood; earthquake; public health emergencies (including pandemics such as COVID-19); war (declared or undeclared); acts or threats of terrorism; civil unrest; political instability; mass protests; strikes or industrial action; governmental restrictions; embargoes or sanctions; transport or energy supply disruption; cyberattacks or major IT failures; disinformation campaigns; hybrid warfare tactics; and any similar causes.
Force majeure shall also include events within Spain or the EU, such as general strikes, nationwide or regional political crises, independence referendums or related political events, restrictions on public gatherings, or security orders by Spanish national or regional authorities.
If a Force Majeure Event occurs, the Organiser may, at its sole discretion, modify, reschedule, relocate, cancel, suspend, or convert the Event to a virtual format without liability for damages, costs, or expenses. Any refund or credit will be determined solely by the Organiser and may be partial or nil.
Delegates and attendees are solely responsible for arranging adequate insurance (including travel, accommodation, and registration) to cover any losses arising from a Force Majeure Event. The Organiser shall not be liable for any direct, indirect, or consequential losses incurred by delegates as a result of such events.
