Industry Media Service and Materials

The EBMT welcomes media interest in the scientific and clinical issues that will be addressed at the 34th Annual Congress of the European Group for Blood and Marrow Transplantation, scheduled for 29th March – 2nd April, 2008, in Florence, Italy.
Below you will find an overview of the Press Guidelines established for this event.
Members of the press must register to attend the congress. Registration is free and accredited members of the press are entitled to:
- Attend the EBMT Press conference on 31st March 2008 at 12:00 midday
- Open admission to all EBMT sessions throughout the Congress
- One-on-one interview opportunities
- Access to the Media Room
- Documentation accompanying the Congress, including the EBMT Press Kit
To register for the Congress as a member of the press you need to:
- Download the Press Registration Form
- Mark the form 'PRESS'
- Fax it to the number marked on the Registration Form
- On arrival at the congress venue visit the Congress Secretariat to show your press credentials and receive your Press Badge
All registrations received before 26th March 2008 will receive a written confirmation. Registrations will continue to be processed until the beginning of the congress and onsite registrations are possible at the Congress Secretariat.
The main press activities to be organised at EBMT 2008 are:
- Press Conference (Room 2, Palazzina Lorenese)
- Media Room (Room 14, Palazzina Lorenese)
- Daily Press Releases (Italian / English

Press registration requirements
The Congress is only open to accredited journalists. When registering at the Congress, official identification will be required in the form of one of the following:
- Accredited press card
- A letter of assignment on the letterhead of the news organisation*
- A business card issued by a recognised news organisation
*Freelance journalists must always provide an official letter of assignment.
A Press Badge will be issued to journalists (including freelance journalists) from the following media sources:
- Journals, magazines and news publications
- News agencies
- Newsletter media
- Broadcast media

Use of Press Badges
Registered press are required to wear their EBMT press badge at all times while on site at the Congress. The Press Badge will entitle bearers access to:
- The scientific sessions listed in the Congress final programme
- The Press conference on scheduled for 31st March, 2008
- The Congress Exhibition room
- The media room*
*An onsite Media Room is at the disposition of accredited press members. Please take advantage of the services available: internet access, laptop connections, etc. You will also find all the materials you need to report on the highlights of the meeting, including the full Press Kit and other background information; daily EBMT press releases; bio-sketches and abstracts of the speakers at the Press Conference. In addition you will be provided with materials from companies that have registered for the EBMT Industry Media Service.
Our press team from Interel PR agency and their Italian partners, Twister Communications, will be available to assist you in English or Italian. They will be happy to answer your questions and will be able to refer you to top experts in the field on scientific issues related to blood and marrow transplantation.
We would like to advise all members of the press that the use of film and/or video equipment to record any of the EBMT sessions is remains strictly prohibited unless explicit permission from the EBMT is obtained in writing. Where accepted an EBMT PR staff member will schedule time to be present during the filming.

Media Room Guidelines
Access to the Media Room is restricted to accredited journalists and those companies who have registered for the EBMT Industry Media Service prior to the Congress. All public relations and corporate representatives are urged to respect the space provided for journalists to work and their need to meet strict deadlines.
Companies who have registered for the EBMT Industry Media Service are entitled to register guests to access the Media Room. Guest registrations should be processed at the Press Desk. For further information on this subject please contact marta.dallarche@peregosolera.it.
Only the companies who are part of the Media Service can distribute their institutional or corporate media materials and product information in the “Industry Press” section of the Media Room. All materials must be clearly marked as Industry materials and should show the embargo time and the abstract number where relevant. Use of the EBMT logo on any materials without explicit written permission from the EBMT is prohibited.

Industry Media Service and Materials
The EBMT is pleased to offer, for the very first time, the opportunity for Corporate Sponsors to employ the Industry Media Service provided at EBMT annual congresses.
For a nominal fee companies can maximise their media exposure by leaving this work to PR professionals, thereby freeing themselves up to focus on other aspects of the congress. The hub of the media service is the Media Room, exclusively for the use of visiting journalists and companies who have signed-up for this service. EBMT offers two tailored packages, each with a different level of service to meet the different needs of companies. For full details please download this document.
Companies which have pre-registered for the EBMT’s Media Services are invited to bring press material to be displayed in the Press Room. All press material will be thoroughly reviewed by the EBMT press relations staff before being placed in the designated “Industry Press” area of the Media Room. Use of the EBMT logo is only permitted where express permission has been given by the EBMT or their PR representatives.
Please note that all corporate material must comply with the Italian Ministry of Health’s guidelines, outlined in a separate document (available upon request).

Congress Embargo Policy
Members of the press are requested to respect press release embargo dates and times. All content, including online content which may be pre-published in advance of the print edition, is still subject to the EBMT Congress Embargo Policy until the official release date and time. Embargo dates and times will be given on all embargoed material. Abstracts presented at the Congress should not be cited until the official start date of the congress on 31st March 2008.

Non-EBMT Press Events
Press briefings, news conferences, and press receptions, other than those sponsored by the EBMT, are not permitted on site at the convention centre at any time during convention.
Only companies having subscribed at EBMT’s Media Service are allowed to organise Press Events.
